What to do if some of my eligible pupils are missing from HolidayActivities

If you are missing some students data within HolidayActivities, you will need to assign your vouchers and then upload the missing children's details using a CSV file.

Step 1

In order for you to order vouchers using a CSV upload, firstly you will need to log in to your HolidayActivities account.

Step 2

Press Select applicable students.

Click Download CSV template.

Step 4

Please enter the required details in the table and then save the document as a CSV file (please Google this if you are unsure as it varies depending on the program you are using). You do not need to provide an email address and phone number if the parent does not have both.

Please ensure the ‘Child date of birth’ column is formatted to show as a date format of DD/MM/YYYY (please Google this if you are unsure as it varies depending on the program you are using).

Step 5

Click Browse and find your CSV file.

step_5.pngIMPORTANT: If there are any errors in your CSV file, it will not upload. Please see the top tips at the bottom of the article which may explain why it is not uploading.

Step 6

HolidayActivities will flag if you have potential duplicates between your CSV file and the children on HolidayActivities (from your MIS). If this happens, you should edit your CSV file to remove any children who are already shown in HolidayActivities, and check there are no duplicate listings within the file.

Step 7

Your CSV file is uploaded, and vouchers assigned to eligible children.

Top Tips

  1. Make sure the headings do not contain capital letters.
  2. Make sure you upload the file in CSV format.
  3. No spaces before or after text or between numbers.
  4. No extra punctuation or special characters other than full stops or @.
  5. Make sure the date of birth column is formatted as a date.
